Approval of Minutes from 01-21-2025:

Marilyn called the meeting to order. She asked for approval on last month’s minutes. A motion to approve the minutes was made by Annalisa Kelly-Cavotta. Second by Mike Calagna. Overall approval by the full organization. (Motion passed)

Report from VP of Treasurer (Teresa):

January’s financials (Monthly report 1/1 – 1/31):
- Starting balance: $102,635.92
- Ending balance: $95,479.24
- Income: $9,566.23
- Expenses: $16,722.91
Banking
- The debit card that was compromised was Teresa’s card and it was closed.
- Opening a credit card goes against the personal credit of the person opening it and the organization.
- We would like to vote to open a checking account “Purchasing Account” to be attached to the debit cards. This account would be set for no overdraft and would decline if funds are unavailable. The treasurer would move the amount needed for the purchase from the “Operating Account” to the “Purchasing Account” when needed.

QUESTION:

Can we change banks? Girl Scouts got a refund from the bank they use (TD Bank).
The bank is not required to give a refund to any other commercial account.

Would the money get tracked?

Yes. The money moving in and out of the account would be tracked and reconciled the same as all of our other funds in our current account.

Report from VP of Volunteers (Art absent – Michelle):

There will be volunteer opportunities coming up in the spring.
Our next big fundraiser will be Bingo at Northeast Middle School on March 15.
Julie Mixtacki spoke about some of the baskets that will be needed.

- Dan Schwartz will be starting to follow-up with families who are far enough behind on payments to discuss cancellations. Please reach out to Dan immediately if there are questions or concerns with payments. Cancellations will start happening.
- Please be attentive to the spring performances that are in addition to concerts. The Band will be marching in the St. Patrick’s Day parade on 3/14, as well as marching in the Memorial Day observance/parade on Monday, May 25. Orchestra will play at graduation on Friday, June 5.
- Other upcoming events:
  - St. Patrick’s Day parade: 3/14
  - Bingo at Northeast: 3/15
  - WGI (flag competition): 3/21 and 3/22
  - Concert week: 3/23
- Red Hot Chilli Pipers tickets are now on sale. Please check this week’s bulletin for information.
Mr. Frank (back from the basketball game)
- The school board will vote on next year’s calendar. The proposed calendar has the start of school on August 24. There will be a correction coming out about summer band dates. PIAA will dictate when summer band will start. We will keep freshmen and new band members at the beginning of that first week but may add the rest of the band at the end of the week.

New Business:

We need a Nominations Committee. We currently have Jen Roan and Diane Cassel. Our bylaws allow for up to 5 members. Reach out if you would like to join the committee.

Fraud
- The bank has concluded their investigation.
- $43 that was used for doordash has been returned. The remaining that was used for kickstreaming will not be returned.

Q1 audit has been completed Q2 is ready to be done.

QUESTION: How much money did we earn from the Hanover Township Community Center Bingo?

It was $900 in cash and we will be receiving a check for $965. Overall it was about $1800..

  - 40 graduating seniors ? 47 incoming band students
  - 30 violins, 11 cellos, 10 string bass, violas same as this year
  - Shout out to the elementary and middle school programs. Our high school program benefits from their hard work. Nothing happens at the high school level without the hard work at the elementary and middle schools.
- Summer camp, football schedule , parade schedule, and fall schedule have all been posted in BandApp.
  - August 3rd – Section leaders and new band members will have a 3 day mini camp before full band camp on August 10th.
  - August 28 – 1st football game
    Weeks 1 and 2 – away
    Weeks 3, 4, and 5 are on Thursdays with week 5 being away at Pocono Mountain West
    Week 9 (BECCA) is on a Saturday (away but in our stadium)
    **This is also the Halloween parade weekend and the week before Liberty/Freedom
    There will only be 3 games with regular pregames
  - October 16th is a Friday Home against Easton
    That day we will be featured on 6ABC during the day.

It is the weekend before the concert. We will be running the concession stand again.

Graduation is June 5th. The orchestra, pipes & drums, fan fare and choir perform.

Marilyn pointed out we are through football season and coasting towards the finish line of London. She reminded everyone that students need to pay their Program Dues. Anyone planning on going to London needs to have their Program Dues paid.

October’s financials (Monthly report 11/1 – 11/30):
- Starting balance: $89,308.30
- Ending balance: $92,341.87
- Income: $29,468.75
- Expenses: $26,435.18
There are still some fundraisers from November that need to be deposited. They will show in next month’s financial report.
Fraud
- The investigation has been started.
- The funds will not come back to us.
- Teresa has looked into the credit cards vs. debit cards but it is not as cut and dry since the credit would be run on the individuals.
- Teresa’s card is still closed and the $577 has been documented in bank fees along with any bounced checks from November.

Marilyn thanked everyone for the success of the Dine to Donate at Apollo Grille. We raised $1250 through dinner checks and about $500 through the basket raffles. The bigger prizes are still open and will close Saturday evening with the drawing being on Sunday.

Double Good Popcorn is 12/11-12/15. This is a 4 day window. It starts at 7am (12/11) and ends at 7 am (12/15). The bag of popcorn is small but delicious. Students earn a 50% quota.

QUESTION: Should the online store be put in the student’s name or the parent’s name?
Student’s name.

Lottery Calendars have brought in $1675 student quota and $1675 to general funds/winner payout. We will need to know the winnings payout to know what has been deposited into general funds.
If you would like student funds to be used towards London:
- Steph will make an announcement on the 5th of the month.
- You will have from the 5th-10th to let Steph know if you would like student funds to go towards London.
EOY funds can be refunded (for funds paid in) or rolled over to next year. More information will be provided towards the end of the year.
As noted on page 4 of the Parent Handbook: Payment for all financial obligations must be made in full by the noted deadlines in order for the student/chaperone to participate in the trip/event. This can be found on our website https://lhsgbopc.org/
London is a lot but Program Dues are a shared responsibility to support the organization

QUESTION: It looks like less than half are paying the program dues. What happens?

Last year personal phone calls, etc. took place the second half of the year to help set up payment plans where needed.. Teresa noted that the number in the budget from the last budget/treasurer did not take into account siblings or orchestra only.

Marilyn called the meeting to order. She thanked everyone that supported the band throughout marching season by donating items, basket raffle items, etc.

Bingo brought in $5,300.
There was fraud in our bank account.
- One of the debit cards was cloned. When the books were being reconciled, there were a bunch of $0 holds. The card was cancelled but $572.29 of charges did go through. Because the card is associated with a commercial account, we are not protected and will need to pay the charges.
- We are taking steps to prevent this in the future: We will close the debit cards and open credit cards that are protected.

Lottery Calendars sale just ended.
Payments for London from Student Account:
- Notice from Steph on BandApp goes out on the 5th of the month (for the following month)
- Let Steph know by the 10th of the month by email (needs to be in writing).
- The check is written on the 11th so it has time to be mailed.
Double Good Popcorn is coming. This is a quick one (4 day turn around). Before December 11th, download the app and enter the code to be ready for the sale.

Audit (Yi-Wen Lai)

Yi-Wen spoke about the audit team. The audit team consisted of Karin Fair and Grace Calasanz. They spent approximately 10 hours in August to review quarters two, three, and four of last year’s financials. The audit showed that there were a few missing receipts, but the in/out transactions all checked out. A report was submitted to the board. Quarter one of this year is ready and they will be starting soon.

Marilyn welcomed the audit committee to present any additional recommendations to help with documentation/record keeping.

- The fundraising report has all confirmed fundraisers through January. As soon as they are confirmed, they get added to the list. There are about 4 to 5 fundraisers per month.

- Thank you to everyone who has helped.
- With the rising costs on instruments it is even affecting things like reeds. If you’re considering buying an instrument or instrument parts, you can consult Nazareth music or the directors.
- Jazz band sign ups are on the door. This will run 7 to 7:25am Mondays and Tuesdays.
- Don’t buy instruments from Amazon.

Mr. Frank
- Hellertown parade: Sunday
  - There was a bus sign up that went out to students if they needed a ride.
  - Report time is 12:00 for those riding the bus with arrival in Hellertown at 12:45.
  - Report time is 1 PM at the school complex at the top of the hill near the start.
  - Step off is at 2 PM
  - We will know that week what division we are in.
- Spirit Week
  - Sunday: Hellertown parade
  - Monday: city Trunk or Treat (Pipes & Drums)
  - Tuesday: joint rehearsal with Freedom during block 1
  - Thursday: Community Pep Rally — Bon Fire
    - This is on the practice field.
    - Band goes out 6 PM
    - The event will start at 6:30 PM
    - This is senior night where the seniors from football, band, and cheer will be recognized.
    - A Google form went out to the seniors.
    - Band portion will wrap up around 7:30 PM
    - Seniors: After senior night, seniors decorate the band room until approximately 10 PM
    - Underclassmen: After the bon fire underclassmen decorate houses. There has already been talks about the difference between decorating and trashing a house. Senior parents please have your child communicate to their section if there are any parameters about decorating your house.
  - Friday: Early morning practice and senior breakfast
  - Saturday: Football game
  - Sunday: Bethlehem Halloween parade
  - The room will be open as it is for all parades to get instruments.
- We are in the play off picture, so the band will be going to the 11th/12th week.
  - On average, we are missing 15 to 20 kids per performance. That’s a lot of people.
  - We can never truly be who we can be with that many missing.
  - Please help your child honor their commitment to help with this trend.
- Moravian pre-student teacher: Mr. Shawn Carroll
  - He will be working with the orchestra on Mondays, Wednesdays, and Fridays.
- City Tree Lighting (full band) – This is Black Friday.
- Absences: Parents should email as verification of a student absent.

Not yet.

We are away. Our students will sit and perform to the away side. There will be 280 students on the field this year.

London
- There will be more motion/rehearsals for London coming up. There will also be meetings, contracts, etc. with those who are going.

Michelle spoke about how senior banners came in lower than budgeted.She proposed a change to the budget that would move the remaining funds ($1488) from the senior banners category to the uniform accessories category of our budget. This will help with berets, tshirts, etc.

Our current photographer (Mr. Miller) does not charge us for the photos for the banners.

QUESTION: So, it is just asking to move the $1488 from senior banners to uniform accessories?

There is a family sharing feature of Cuttime where you can send a special link to family and friends. They can then deposit directly into your child’s Cuttime account. More information will be sent out.

  - Steph will continue to put a picture of where the pick up is.
  - If pick up is in the science lot:
    - Stay in your car.
    - The orders will already be sorted and loaded into your car for you.
  - Payment is due at the fundraiser.
    Please do not send payment to the directors.
    If the payment does not reach the pick up, the items can not be released.
  - Items need to be picked up on the day of the pick up. They can not be held.
  - Please do not send the people you sold items to to pick up their part of your order. Your full order needs to be paid for and picked up together. We can only take checks from members within our organization.
- Program Dues
  - Band and Orchestra students help support their music program by paying program dues each year. Our program dues for the 2025/2026 school year are:
    - $150 – Per student in Band only or in both Band and Orchestra
      (includes ALL members including Pipers, Majorettes, & Colour Guard)
    - $75 – Per student in Orchestra only
  - **Families with multiple students in the Program pay $150 for the first student and $75 for each additional student as a sibling discount.
  - The money is due by October 1st for Band members and November 1st for Orchestra only members. You can pay either by check (made out to LHSGBOPC), money order, or credit card (using CutTime).

- The first two travel games went smoothly.
- London:
  - London sign ups closed September 8th.
    If you sign up, you will now go on a waitlist. If there room students will bump into the trip list – 1st come, 1st serve.
  - Right now we are looking to travel with 160 students.
  - London rehearsals will be outside of the school day after football season.
  - Insurance emails went out. Done on an individual basis.
  - Planning ahead: Get your passport now.

Steph explained that she is the Vice President of Student Accounts. This means that any fundraising that is done, she will be the contact person. Also, she is the contact person if there are questions directly related to any of the money that’s in your student’s account.
Cut Time:

Cut Time is the online program used to track student financial accounts.
Email Steph with your child’s name and your phone number if you need help logging in.

Program Dues:
- Program dues help support the band and orchestra for non district funded expenses.
  - Band members (includes pipers and majorettes): $150
  - Orchestra only members: $75
  - Families with multiple students in the program pay $150 for the first student, and $75 for each additional student.
- Payments are due October 1st.
- Payments can be made by check or money order payable to LHSGB&OPC.
  Please put the student’s name and what the check is for in the memo line.
  Credit Cards can be used through Cut Time, but a 3% fee is charged by Cut Time.
  If using cash, please make sure you get a receipt.
- As noted on page 4 of the Parent Handbook: Payment for all financial obligations must be made in full by the noted deadlines in order for the student/chaperone to participate in the trip/event. This can be found on our website https://lhsgbopc.org/

- Transition into Liberty High School and this program can be overwhelming
- The best way to be in the know is to be on BandApp.Synergy will also go out each week. Before asking questions, please go back and check the weekly bulletin/Sunday post.Many times the answer to most questions can be found within the post or weekly bulletin.
- Preview Night (Friday)
  - Rehearsal until 1pm
  - Report back at 6pm
  - Students will be fed dinner
  - Students should wear:
    - Returning students should wear their blue shirts from last year.
    - New students should wear a blue or Liberty shirt
    - Athletes will be introduced with their teams and should come in uniforms/jerseys per their coach.

  - Drop off on Grenadier or in the bus channel during the school year. Do not come into the big parking lot or the activity lot.

QUESTION: When we travel, do students go home after school on the bus first?
We will have a report time of about 4-4:30 and a departure time of about 5:15. The report time will be in the schedule. Students can stay or go home as long as they are back by the report time. When we leave the game, we will post in the BandApp when we depart the stadium and what our estimated time back to the high school will be.

BandApp Chat Feature:
- To help people to get an overwhelming amount of notifications, we are asking that instead of posting in the full chat, reach out separately or text a friend.
Mr. Lennox
- Buying and upgrading instruments:

Do not buy instruments from Amazon or Temu. Mr. Lennox can’t repair these instruments, and neither will the repair shop. Yes, they’re cheap but they don’t sell replacement parts for them. Please just email the directors and ask for recommendations.

Donations of old instruments are always welcome.

- If the amount fundraised by the student in the school year exceeds the student’s Program Dues/quota obligation for that same school year, the fundraised funds CAN be rolled over in the student’s account for use to cover the following school year’s quota expenses. Any rolled over funds become non-refundable.
- If an overpayment occurs in the student’s quota account (i.e., the parent/guardian has fundraised MORE than the total Program Dues/quota required for that school year), the family is eligible for a refund of any direct payments made towards the student’s expenses for that school year.
- London trip payments:
  - Extra funds in the Student Account after Program Dues can be used to pay for the trip.
  - The parent band organization does not cover payments if students are behind on payments.

Question: If parents chair fundraisers do they get a kickback or additional % towards quota?

No.

Question: Have we thought of doing a program called RaiseRight?

Budget
- Fundraisers are a large amount of the money. A lot of the money goes to student accounts and the fundraiser product – very little goes toward general funds.
- 1,800 income from the Pops concert – increases end balance to $4,210 to the positive.
- 1st year having a positive budget.

Question: There are lines for clinicians by name with nothing listed after it.

Moving to using a general clinician line instead of the clinician’s name.

Thank you to all of the senior parents. We will miss you! Thank you for all of the times you have stepped up and helped out over the years.

Mr. Frank
- Happy Mother’s Day to all of the moms.
- Thank you to all of the senior parents.
- Thank you Becky for where we are now with our finances.
  Our goal is always to have transparency. We are now in a good position. Thank you, Becky!
- Senior Dinner
  - Wednesday, May 14th
  - We moved the start time back to 7pm.
  - Students going to the Community Service dinner can come and join us for dessert.
- Band:
  - 1 more band day with seniors. We will also see in the halls, at the dinner, and at Stabler.
  - Any seniors who have not turned in uniforms please bring in. The only ones that need to hold on to uniforms are those involved in graduation.
  - Seniors with school owned instruments should return asap.
- Orchestra/Graduation
  - All orchestra members will play at graduation on June 5th.
  - Seniors will get to play.
  - Rehearsal the day of. It is Block 1 and 3 finals. Block 1 time go to Stabler and rehearse. Return in time for Block 3 final.
  - There will be buses for students that need transportation for the rehearsal. Students can take buses to and from Liberty.
  - No transportation for the evening. Get there early because traffic will make it sketchy.
  - More information to come.
- Liberty Calendar Changes:
  - The start of winter break has been moved from the 23rd to the 19th.
  - Spring band concert was moved from mid-April to the last weekend in March.
  - Parade on October 13th (Philadelphia)
    250th Anniversary parade of the Navy and Marine Corp.
    Liberty, Freedom, Parkand, and Easton are all marching.
  - ESU North (home) game has been shifted to a Thursday.
  - Incoming freshmen meeting – will look at dates
- London Trip
  - Payments are due starting in June.
  - $4,500 cap. Final price is not set.
  - Money from group fundraisers will help offset the price.
  - Biggest expense is the uniform and instrument shipping and busing from the school to JFK.
  - Tag Along will not be in the same hotel but will get to see the performances.

Question: What happens if we want to do an extended stay?
