Marilyn called the meeting to order. She asked for approval on last month’s minutes. A motion to approve the minutes was made by Annalisa Kelly-Cavotta. Second by Mike Calagna. Teresa noticed her title listed as VP Treasurer instead of Treasurer. Michelle updated. Overall approval by the full organization. (Motion passed)

- January’s financials (Monthly report 1/1 – 1/31):
- Starting balance: $102,635.92
- Ending balance: $95,479.24
- Income: $9,566.23
- Expenses: $16,722.91

- The debit card that was compromised was Teresa’s card and it was closed.
- Opening a credit card goes against the personal credit of the person opening it and the organization.
- We would like to vote to open a checking account “Purchasing Account” to be attached to the debit cards. This account would be set for no overdraft and would decline if funds are unavailable. The treasurer would move the amount needed for the purchase from the “Operating Account” to the “Purchasing Account” when needed.
QUESTION:
Can we change banks? Girl Scouts got a refund from the bank they use (TD Bank).
The bank is not required to give a refund to any other commercial account.
Would the money get tracked?
Yes. The money moving in and out of the account would be tracked and reconciled the same as all of our other funds in our current account.

Report from VP of Volunteers (Art absent – Michelle):
- There will be volunteer opportunities coming up in the spring.
- Our next big fundraiser will be Bingo at Northeast Middle School on March 15.
- Julie Mixtacki spoke about some of the baskets that will be needed.

- Dan Schwartz will be starting to follow-up with families who are far enough behind on payments to discuss cancellations. Please reach out to Dan immediately if there are questions or concerns with payments. Cancellations will start happening.
- Please be attentive to the spring performances that are in addition to concerts. The Band will be marching in the St. Patrick’s Day parade on 3/14, as well as marching in the Memorial Day observance/parade on Monday, May 25. Orchestra will play at graduation on Friday, June 5.

- The school board will vote on next year’s calendar. The proposed calendar has the start of school on August 24. There will be a correction coming out about summer band dates. PIAA will dictate when summer band will start. We will keep freshmen and new band members at the beginning of that first week but may add the rest of the band at the end of the week.

- We need a Nominations Committee. We currently have Jen Roan and Diane Cassel. Our bylaws allow for up to 5 members. Reach out if you would like to join the committee.

It was $900 in cash and we will be receiving a check for $965. Overall it was about $1800..

- Shout out to the elementary and middle school programs. Our high school program benefits from their hard work. Nothing happens at the high school level without the hard work at the elementary and middle schools.
- Summer camp, football schedule , parade schedule, and fall schedule have all been posted in BandApp.
- August 3rd – Section leaders and new band members will have a 3 day mini camp before full band camp on August 10th.

Weeks 1 and 2 – away
Weeks 3, 4, and 5 are on Thursdays with week 5 being away at Pocono Mountain West
Week 9 (BECCA) is on a Saturday (away but in our stadium)
**This is also the Halloween parade weekend and the week before Liberty/Freedom
There will only be 3 games with regular pregames - October 16th is a Friday Home against Easton
That day we will be featured on 6ABC during the day.

Marilyn called the meeting to order. She asked for approval on last month’s minutes. A motion to approve the minutes was made by Yi-Wen Lai. Second by Teresa McNish. Overall approval by the full organization. (Motion passed)
Marilyn pointed out we are through football season and coasting towards the finish line of London. She reminded everyone that students need to pay their Program Dues. Anyone planning on going to London needs to have their Program Dues paid.
Report from VP of Treasurer (Teresa):
- October’s financials (Monthly report 11/1 – 11/30):
- Starting balance: $89,308.30
- Ending balance: $92,341.87
- Income: $29,468.75
- Expenses: $26,435.18
- There are still some fundraisers from November that need to be deposited. They will show in next month’s financial report.
- Fraud
- The investigation has been started.
- The funds will not come back to us.
- Teresa has looked into the credit cards vs. debit cards but it is not as cut and dry since the credit would be run on the individuals.
- Teresa’s card is still closed and the $577 has been documented in bank fees along with any bounced checks from November.

- Marilyn thanked everyone for the success of the Dine to Donate at Apollo Grille. We raised $1250 through dinner checks and about $500 through the basket raffles. The bigger prizes are still open and will close Saturday evening with the drawing being on Sunday.

- Double Good Popcorn is 12/11-12/15. This is a 4 day window. It starts at 7am (12/11) and ends at 7 am (12/15). The bag of popcorn is small but delicious. Students earn a 50% quota.
QUESTION: Should the online store be put in the student’s name or the parent’s name?
Student’s name.
- Lottery Calendars have brought in $1675 student quota and $1675 to general funds/winner payout. We will need to know the winnings payout to know what has been deposited into general funds.
- If you would like student funds to be used towards London:
- Steph will make an announcement on the 5th of the month.
- You will have from the 5th-10th to let Steph know if you would like student funds to go towards London.
- EOY funds can be refunded (for funds paid in) or rolled over to next year. More information will be provided towards the end of the year.
- As noted on page 4 of the Parent Handbook: Payment for all financial obligations must be made in full by the noted deadlines in order for the student/chaperone to participate in the trip/event. This can be found on our website https://lhsgbopc.org/
- London is a lot but Program Dues are a shared responsibility to support the organization
QUESTION: It looks like less than half are paying the program dues. What happens?
Last year personal phone calls, etc. took place the second half of the year to help set up payment plans where needed.. Teresa noted that the number in the budget from the last budget/treasurer did not take into account siblings or orchestra only.

Marilyn called the meeting to order. She thanked everyone that supported the band throughout marching season by donating items, basket raffle items, etc.
She asked for approval on last month’s minutes. A motion to approve the minutes was made by Annalisa Kelly-Cavotta. Second by Mike Calagna. Overall approval by the full organization. (Motion passed)

- October’s financials (Monthly report 10/1 – 10/31):
- Starting balance:$96,025.63
- Ending balance: $89,308.30
- Income: $18,252.27
- Expenses: $24,969.60
- Bingo brought in $5,300.
- There was fraud in our bank account.
- One of the debit cards was cloned. When the books were being reconciled, there were a bunch of $0 holds. The card was cancelled but $572.29 of charges did go through. Because the card is associated with a commercial account, we are not protected and will need to pay the charges.
- We are taking steps to prevent this in the future: We will close the debit cards and open credit cards that are protected.

- Audit (Yi-Wen Lai)
Yi-Wen spoke about the audit team. The audit team consisted of Karin Fair and Grace Calasanz. They spent approximately 10 hours in August to review quarters two, three, and four of last year’s financials. The audit showed that there were a few missing receipts, but the in/out transactions all checked out. A report was submitted to the board. Quarter one of this year is ready and they will be starting soon.
Marilyn welcomed the audit committee to present any additional recommendations to help with documentation/record keeping.

- The fundraising report has all confirmed fundraisers through January. As soon as they are confirmed, they get added to the list. There are about 4 to 5 fundraisers per month.

- With the rising costs on instruments it is even affecting things like reeds. If you’re considering buying an instrument or instrument parts, you can consult Nazareth music or the directors.
- Jazz band sign ups are on the door. This will run 7 to 7:25am Mondays and Tuesdays.

- There was a bus sign up that went out to students if they needed a ride.
- Report time is 12:00 for those riding the bus with arrival in Hellertown at 12:45.

- This is senior night where the seniors from football, band, and cheer will be recognized.

- Seniors: After senior night, seniors decorate the band room until approximately 10 PM
- Underclassmen: After the bon fire underclassmen decorate houses. There has already been talks about the difference between decorating and trashing a house. Senior parents please have your child communicate to their section if there are any parameters about decorating your house.
- Friday: Early morning practice and senior breakfast
- Saturday: Football game
- Sunday: Bethlehem Halloween parade
- The room will be open as it is for all parades to get instruments.
- We are in the play off picture, so the band will be going to the 11th/12th week.
- On average, we are missing 15 to 20 kids per performance. That’s a lot of people.
- We can never truly be who we can be with that many missing.
- Please help your child honor their commitment to help with this trend.

- Michelle spoke about how senior banners came in lower than budgeted.She proposed a change to the budget that would move the remaining funds ($1488) from the senior banners category to the uniform accessories category of our budget. This will help with berets, tshirts, etc.

Our current photographer (Mr. Miller) does not charge us for the photos for the banners.

- If pick up is in the science lot:
- Stay in your car.
- The orders will already be sorted and loaded into your car for you.
- Payment is due at the fundraiser.
Please do not send payment to the directors.
If the payment does not reach the pick up, the items can not be released. - Items need to be picked up on the day of the pick up. They can not be held.
- Please do not send the people you sold items to to pick up their part of your order. Your full order needs to be paid for and picked up together. We can only take checks from members within our organization.
- Program Dues
- Band and Orchestra students help support their music program by paying program dues each year. Our program dues for the 2025/2026 school year are:
- $150 – Per student in Band only or in both Band and Orchestra
(includes ALL members including Pipers, Majorettes, & Colour Guard) - $75 – Per student in Orchestra only
- $150 – Per student in Band only or in both Band and Orchestra
- **Families with multiple students in the Program pay $150 for the first student and $75 for each additional student as a sibling discount.
- The money is due by October 1st for Band members and November 1st for Orchestra only members. You can pay either by check (made out to LHSGBOPC), money order, or credit card (using CutTime).
