Approval of Minutes from 09-15-2025: 

Marilyn called the meeting to order. She asked for approval on last month’s minutes. A motion to approve the minutes was made by Mike Calagna. Second by  Mary Rose Wilson. Overall approval by the full organization. (Motion passed)

• September’s financials (Monthly report 9/1 – 9/30):

• Audit (Yi-Wen Lai)

Yi-Wen spoke about the audit team. The audit team consisted of Karin Fair and Grace Calasanz. They spent approximately 10 hours in August to review quarters two, three, and four of last year’s financials. The audit showed that there were a few missing receipts, but the in/out transactions all checked out. A report was submitted to the board. Quarter one of this year is ready and they will be starting soon.

 

Marilyn welcomed the audit committee to present any additional recommendations to help with documentation/record keeping.

  • PJ Whelihan’s doesn’t have an amount recorded. We are waiting for them to send a check.
  • Our next dine to donate is 4 PM to 9:30 PM at Plaza Azteca.
  • Lottery calendars have started. The information is listed on the cover sheet. Coversheet information needs to be back November 7th. Winnings will be mailed directly to the winner.
  • The fundraising report has all confirmed fundraisers through January. As soon as they are confirmed, they get added to the list. There are about 4 to 5 fundraisers per month.

  • Baskets and donations are coming in.
  • We will be looking for adult and student volunteers to help during the event. We will also be looking for donations of concessions (baked goods, crockpot items). We will also need items to finish out the baskets for the basket raffle.
  • Sign-up geniuses will be going out.
  • We have added a text  feature to buy tickets. If you text fallbingo to 53–555 it will take you to the pre-sale page.

  • DIne to donate will also have raffle baskets (five or six). She will reach out if she needs any additional help.

  • Thank you to everyone who has helped.
  • With the rising costs on instruments it is even affecting things like reeds. If you’re considering buying an instrument or instrument parts, you can consult Nazareth music or the directors.
  • Jazz band sign ups are on the door. This will run 7 to 7:25am Mondays and Tuesdays.
  • Don’t buy instruments from Amazon.

 

• Mr. Frank
  • Hellertown parade: Sunday
    • There was a bus sign up that went out to students if they needed a ride.
    • Report time is 12:00 for those riding the bus with arrival in Hellertown at 12:45.
    • Report time is 1 PM at the school complex at the top of the hill near the start.
    • Step off is at 2 PM
    • We will know that week what division we are in. 
  • Spirit Week
    • Sunday: Hellertown parade
    • Monday: city Trunk or Treat (Pipes & Drums)
    • Tuesday: joint rehearsal with Freedom during block 1
    • Thursday: Community Pep Rally — Bon Fire
      • This is on the practice field.
      • Band goes out 6 PM
      • The event will start at 6:30 PM
      • This is senior night where the seniors from football, band, and cheer will be recognized.
      • A Google form went out to the seniors.
      • Band portion will wrap up around 7:30 PM
      • Seniors: After senior night, seniors decorate the band room until approximately 10 PM
      • Underclassmen: After the bon fire underclassmen decorate houses. There has already been talks about the difference between decorating and trashing a house. Senior parents please have your child communicate to their section if there are any parameters about decorating your house.
    • Friday: Early morning practice and senior breakfast
    • Saturday: Football game
    • Sunday: Bethlehem Halloween parade
    • The room will be open as it is for all parades to get instruments.
  • We are in the play off picture, so the band will be going to the 11th/12th week.
    • On average, we are missing 15 to 20 kids per performance. That’s a lot of people.
    • We can never truly be who we can be with that many missing.
    • Please help your child honor their commitment to help with this trend.
  • Moravian pre-student teacher: Mr. Shawn Carroll
    • He will be working with the orchestra on Mondays, Wednesdays, and Fridays.
  • City Tree Lighting (full band) – This is Black Friday.
  • Absences: Parents should email as verification of a student absent.

QUESTION: Are the parking passes (tailgating) for Liberty vs. Freedom out yet?
Not yet.

QUESTION: Are we home or away for Liberty vs. Freedom?
We are away. Our students will sit and perform to the away side. There will be 280 students on the field this year.

• London
  • There will be more motion/rehearsals for London coming up. There will also be meetings, contracts, etc. with those who are going.
• Thank you to everyone who has helped throughout the marching season. This includes the roadies, bus chaperones, donations, volunteers.

• Michelle spoke about how senior banners came in lower than budgeted.She proposed a change to the budget that would move the remaining funds ($1488) from the senior banners category to the uniform accessories category of our budget. This will help with berets, tshirts, etc. 

QUESTION: How did the senior banners come in so much lower?

Our current photographer (Mr. Miller) does not charge us for the photos for the banners.

 

QUESTION: So, it is just asking to move the $1488 from senior banners to uniform accessories?

Yes.

 

QUESTION: What is the income of $4,500 in uniform accessories from?

That is from the shoes.

• CutTime:

There is a family sharing feature of Cuttime where you can send a special link to family and friends. They can then deposit directly into your child’s Cuttime account. More information will be sent out.

• Fundraisers:
  • All fundraisers are listed on our website: https://lhsgbopc.org/ 
  • Fundraiser reminders:
    • Steph will continue to put a picture of where the pick up is.
    • If pick up is in the science lot:
      • Stay in your car. 
      • The orders will already be sorted and loaded into your car for you.
    • Payment is due at the fundraiser.
      Please do not send payment to the directors.
      If the payment does not reach the pick up, the items can not be released.
    • Items need to be picked up on the day of the pick up. They can not be held.
    • Please do not send the people you sold items to to pick up their part of your order. Your full order needs to be paid for and picked up together. We can only take checks from members within our organization. 
  • Program Dues
    • Band and Orchestra students help support their music program by paying program dues each year. Our program dues for the 2025/2026 school year are:
      • $150 – Per student in Band only or in both Band and Orchestra
        (includes ALL members including Pipers, Majorettes, & Colour Guard)
      • $75 – Per student in Orchestra only 
    • **Families with multiple students in the Program pay $150 for the first student and $75 for each additional student as a sibling discount. 
    • The money is due by October 1st for Band members and November 1st for Orchestra only members. You can pay either by check (made out to LHSGBOPC), money order, or credit card (using CutTime). 
    • Please email band-vp@lhsgbopc.org with any questions or to arrange making a payment.

  • The first two travel games went smoothly.
  • London:
    • London sign ups closed September 8th.
      If you sign up, you will now go on a waitlist. If there room students will bump into the trip list – 1st come, 1st serve.
    • Right now we are looking to travel with 160 students.
    • London rehearsals will be outside of the school day after football season.
    • Insurance emails went out. Done on an individual basis.
    • Planning ahead: Get your passport now.
  • Upcoming:
    • Pep band: Monday (girls soccer) & Wednesday (boys soccer)
    • Football game: Thursday
    • Pep band: Students will get community service hours. 
  • Saturday 9/27: Celtic Classic (1st parade)
    • Meet at City Hall
    • We are the last band

    • Heavy traffic at the end of the parade. You will need to walk back up the hill. 
  • Monday 10/13: Parade Philadelphia
    • During the school day.

    • It will be televised on 6ABC (potentially nationally).

  • End of season Halloween parades are coming. 
  • Spirit Week
    • Bonfire/Nonfire – October 23rd
    • This is when we do senior night for football, cheerleaders, and band.
    • Starts around 6:30pm 
  • Orchestra:
    • Mark your calendar for December 12th and 14th for the Choir/Orchestra Concert 
  • Pipes accepted into playing at our annual conference for PMEA. The performance is not public but pretty awesome! 
  • PMEA: 
    • Applications are now posted for district band/orchestra.
    • Saturday, December 1st is the audition day. 
  • Spaghetti dinner is postponed but we may want to show the documentary sooner. 
  • Information can be found in our weekly bulletin, BandApp, and Synergy.

QUESTION: Do you know the parade route for the Philadelphia parade?
Start at JFK Blvd and end at City Hall, but exact route is not posted yet.

QUESTION: For the London Tag Along trip, is there a cut off date?
They are still registering but they are wrapping up registration soon.

Mr. Frank introduced Stu Warmington. Stu was a member of the Royal Marines and is now a key member of London Band Week. Stu did a short introduction of himself and opened the floor for a short question and answer session about himself.

 

Marilyn introduced each of the board members, at large members, and our community partners (George and Julie were not present).

• Yi-Wen Lai spoke about the audit committee. She is the chair of the audit committee and is asking for volunteers.

 

Report from VP of Student Accounts (Steph):

• Steph explained that she is the Vice President of Student Accounts. This means that any fundraising that is done, she will be the contact person. Also, she is the contact person if there are questions directly related to any of the money that’s in your student’s account. 
• Cut Time: 

Cut Time is the online program used to track student financial accounts.
Email Steph with your child’s name and your phone number if you need help logging in.

 

• Program Dues:
  • Program dues help support the band and orchestra for non district funded expenses.
    • Band members (includes pipers and majorettes): $150
    • Orchestra only members: $75
    • Families with multiple students in the program pay $150 for the first student, and $75 for each additional student.
  • Payments are due October 1st. 
  • Payments can be made by check or money order payable to LHSGB&OPC.
    Please put the student’s name and what the check is for in the memo line.
    Credit Cards can be used through Cut Time, but a 3% fee is charged by Cut Time.
    If using cash, please make sure you get a receipt.
  • As noted on page 4 of the Parent Handbook: Payment for all financial obligations must be made in full by the noted deadlines in order for the student/chaperone to participate in the trip/event. This can be found on our website https://lhsgbopc.org/

    • You will get a notice on the 5th of the month. You will have until the 10th to let Steph know you would like to use funds for a payment. If it does not cover your full payment, you will still owe what is left by London Band Week’s due date. 
  • End of year funds:
    • At the end of the year, you can get a refund but only for funds that were paid in.
    • Funds can also be rolled over to the next year, but will then become nonrefundable.

  • Transition into Liberty High School and this program can be overwhelming
  • The best way to be in the know is to be on BandApp.Synergy will also go out each week. Before asking questions, please go back and check the weekly bulletin/Sunday post.Many times the answer to most questions can be found within the post or weekly bulletin.
  • Preview Night (Friday)
    • Rehearsal until 1pm
    • Report back at 6pm
    • Students will be fed dinner
    • Students should wear:
      • Returning students should wear their blue shirts from last year.
      • New students should wear a blue or Liberty shirt
      • Athletes will be introduced with their teams and should come in uniforms/jerseys per their coach.
      • Majorettes will wear pep uniforms
    • Step off is 7pm
      • Students will play what we have
  • 1st Game (Friday, August 22)

  • This week’s schedule:
    • Monday = 8-3pm
    • Tuesday/Wednesday/Thursday = 6-8:30pm

  • The upcoming parent meeting schedule will come out this weekend. We will rotate the day of the week so all can make some meetings. There will be a zoom option for each meeting.
  • School year:
    • Band practice is at 7am every day (starting the 2nd day of school) – even on the non-band days.
    • Drop off on Grenadier or in the bus channel during the school year. Do not come into the big parking lot or the activity lot.

QUESTION: Are the zoom meetings recorded? No

QUESTION: When we travel, do students go home after school on the bus first?
We will have a report time of about 4-4:30 and a departure time of about 5:15. The report time will be in the schedule. Students can stay or go home as long as they are back by the report time. When we leave the game, we will post in the BandApp when we depart the stadium and what our estimated time back to the high school will be.

• BandApp Chat Feature:
  • To help people to get an overwhelming amount of notifications, we are asking that instead of posting in the full chat, reach out separately or text a friend. 
• Mr. Lennox
  • Buying and upgrading instruments: 

Do not buy instruments from Amazon or Temu. Mr. Lennox can’t repair these instruments, and neither will the repair shop. Yes, they’re cheap but they don’t sell replacement parts for them. Please just email the directors and ask for recommendations. 

• Donations of old instruments are always welcome.

  • If the amount fundraised by the student in the school year exceeds the student’s Program Dues/quota obligation for that same school year, the fundraised funds CAN be rolled over in the student’s account for use to cover the following school year’s quota expenses. Any rolled over funds become non-refundable.
  • If an overpayment occurs in the student’s quota account (i.e., the parent/guardian has fundraised MORE than the total Program Dues/quota required for that school year), the family is eligible for a refund of any direct payments made towards the student’s expenses for that school year.
  • London trip payments: 
    • Extra funds in the Student Account after Program Dues can be used to pay for the trip. 
    • The parent band organization does not cover payments if students are behind on payments. 

 

Question: If parents chair fundraisers do they get a kickback or additional % towards quota?

No. 

 

Question: Have we thought of doing a program called RaiseRight?

We are in the process of looking into it for next year.

  • Senior Dinner
    • Wednesday, May 14th
    • We moved the start time back to 7pm.
    • Students going to the Community Service dinner can come and join us for dessert.
  • Band:
    • 1 more band day with seniors. We will also see in the halls, at the dinner, and at Stabler.
    • Any seniors who have not turned in uniforms please bring in. The only ones that need to hold on to uniforms are those involved in graduation.
    • Seniors with school owned instruments should return asap.
  • Orchestra/Graduation
    • All orchestra members will play at graduation on June 5th.
    • Seniors will get to play.
    • Rehearsal the day of. It is Block 1 and 3 finals. Block 1 time go to Stabler and rehearse. Return in time for Block 3 final.
    • There will be buses for students that need transportation for the rehearsal. Students can take buses to and from Liberty.
    • No transportation for the evening. Get there early because traffic will make it sketchy.

  • Liberty Calendar Changes:
    • The start of winter break has been moved from the 23rd to the 19th.
    • Spring band concert was moved from mid-April to the last weekend in March.
    • Parade on October 13th (Philadelphia)
      250th Anniversary parade of the Navy and Marine Corp.
      Liberty, Freedom, Parkand, and Easton are all marching.
    • ESU North (home) game has been shifted to a Thursday.
    • Incoming freshmen meeting – will look at dates
  • London Trip 
    • Payments are due starting in June. 
    • $4,500 cap. Final price is not set.
    • Money from group fundraisers will help offset the price.
    • Biggest expense is the uniform and instrument shipping and busing from the school to JFK.
    • Tag Along will not be in the same hotel but will get to see the performances.

  • Hang on to the navy blue band shirt from this year. To save money for the organization. we are no longer giving a new shirt each year. 
  • We will be taking the year off of the design and continuing with the same design moving forward.
  • Seniors can choose to donate back.
  • Freshman/new band members will be provided one from the band. You will have the opportunity to purchase an extra.
  • Students can wear past shirts but we are working to phase out past shirts to be more uniform.
• Looking for a Tag Along Committee

  • Congratulations to Cam Dunam (orchestra) and Andrew Fortsch (band) for moving forward in PMEA. Region choir is next week. The state festival will be at Kalahari the week after the concert.

QUESTION: Can they take luggage on the plane?
That hasn’t been decided yet. All previous trips we have always shipped luggage. The more luggage/gear the slower it is to go through customs. The directors will continue to look at the cost breakdown.

 

• Start the process of getting passports now.
• Price: The directors are flying to London in June. They will not have the final number for price until they return.
• Would like to start payments in May 2025 with the final payment due in 2026.
• The directors are contacting London Band Week to see if they can get it set up to start payments in May (even though we don’t have our final price). 
• Families don’t have to decide in May. Can decide to join the trip later but the monthly payments will be more because the price will be spread over less payments/months.

• Incoming 9th graders: Majorette tryouts will be the 1st or 2nd week of May. Dates will be coming out.

• If your child is only in orchestra and not in a band, there are opportunities for them to join the band. We would love to increase our pipes section and beef up our tubas.
• We will keep giving you information as we get it.
• Come to the meeting on Saturday, April 5th at 1pm.

QUESTION: Is there any more information about TagAlongs going to London?
Not yet. There has been a large interest in the Google Form responses for a tag along trip.

  • This is the calm before the storm.
  • March 6: Red Hot Chilli Pipers
    • A lot of times there may be kids added to the stage the day before. 
    • Get tickets. It’s a great show.
  • March 15: March in Parade of Shamrocks (1:15 step off)

    • Final rehearsal and concert
  • March 22-23: LAC (athletic department) hosting indoor flag competition (Eastern Regional)
    • The athletic department wants to support us. A member said that “when you do better, we do better.”
    • We will be doing the concession stand. They are taking care of all of the purchasing and setup. We just need to supply manpower.
    • Last year the concession stand brought in $12,000.
    • There will be 4 – 3 hour shifts on Saturday (8:30am – 9pm) and 3 – 3 hour shifts on Sunday. We need 7-10 students per shift and 3-5 adults per shift.
    • There will be beaks throughout the competition which is when the concession gets flooded.
    • We have 50-60 athletes in the band, so this is a great gift to help offset London costs.
    • Our goal for London fundraising is to bring in as much as we can. If we can lower costs we will. We want to make this trip affordable for everybody. 
    • Thinking about London, these large scale fundraisers are where we’re going along with grant writing and our smaller fundraisers of donuts, candy, gift cards, etc.

    • Students will get community service hours. Profit will go to general funds. There will also be opportunities on Friday to do setup for service hours.

        • We will travel there around June 20 or 21 and back around June 29. – We do not have exact travel dates yet.

QUESTION: Do we go through Gateway?
No. This is a non-Gateway trip. We go through Dan ? London Band Week. They can also organize the tag along trip.

 

• Directors are getting middle school numbers. The trend is an increase in enrollment. A huge thank you to everyone that is working in the elementary schools and middle schools to build the program.
  • Band will increase by 25-30 members next year.
  • Orchestra will also increase again.
  • Program looks healthy at 200+ members.
• Possible upcoming Piper Gig
  Pipers may be performing on March 16 at the Phantoms Game. Still polling the students to find out interest.

  Dr. Bailey’s official last day and the passing of a student (not in the program).

  • Alumni Form
    • Rolls out next week. The board is trying to collect information on alumni.
    • The problem with putting it out on our social media is that 78% of our followers are under 24 years old – so not really in the situation to donate.
    • Please share on personal social media.
    • George Whacker will also be interviewing and asking for alumni to share fun stories.
  • Instruments: Cello/Bass
    • With the increase in students next year, we are hurting for instruments. 
    • We are working with elementary and middle schools to make sure all students have an instrument.
    • If you have any instruments that are collecting dust, please donate. You can talk to the central office to find out about a tax write off.

• If you would like to be part of the nominating committee or run for office, email Tracy. Elections will be in April. Nominations will need to be in 2 weeks before (in March).

  • Double Good Popcorn is new and completely online. Seller downloads an app (buyers do not have to download the app). Students get 50% of sales. The popcorn is popped fresh and has direct shipping.

Report from VP of Treasurer (Becky):

• November’s financials (Monthly report 12/1 – 12/31):
  • Starting balance:$95,079.35
  • Ending balance: $91,028.59
  • Income: $26,673.65
  • Expenses: $30,724.41
  • Under fundraisers there is a category “Commingled Fundraisers”. This is when multiple fundraisers are written into one check. These will be put in the correct spots.
    Please write 1 check for each fundraiser.
  • Expenses for Florida Trip 2025:
    $10,350 was withdrawn for the food gift cards. There was a $700 bank fee, but the bank ended up waiving their portion ($350) of the fee. The other $350 went to the card company.
    The $10,000 for the gift cards was fundraised funds. Instead of a check at the end, these funds will be given to students as a Visa gift card to use on the trip for the trip.
  • “Bad Debt” – we do have some bad debt. This is from fundraisers. We are working through collecting it. Once it deposits, this category will 0 out and disappear.
  • Checks – If checks are sitting in the bank uncashed, please email. The different chairs deliver the checks. If they are uncashed please email and we can work backwards.
  • Audit will be after the trip.

  • 4 students will be attending District Orchestra at Parkland High School.
    There is currently a power outage. Keep a lookout for emails.
  • Back from the New Year. Students were off for 16 days. Monday packed uniforms in boxes. We will be back to our routine after the trip (Jan. 27).
  • Week of Jan. 27 orchestra and band will really get their 2nd semester started.
  • Concerts early April
    Spring Concert  is early April (19-20)

We want to make sure we are giving all students what they need to prepare and grow and put on a quality program.

• Red Hot Chilli Pipers (RHCP) will be here before we know it.
  Students that participate are all pipers, drummers, and highland dancers. Brass may be invited that week.
  We would love to pack the theater this year.
  Tickets are live at LHSGBOPC for $30
• REMINDERS: 
  • Luggage Drop Off
    Tomorrow is the luggage drop off. If there is an issue please reach out.The truck is leaving Friday morning. It will be in the gym lobby. Tables will be set up so students can be checked in. Each student will have a color coded luggage tag.
  • All uniforms for the band are packed. Black shoes might be packed in suitcases if in orchestra/choir. 
  • Temperatures are mid 50’s -60’s ? It’s a sweatshirt kind of trip.
  • Orchestra should wear the trip shirt and black pants on Friday.
  • The Blue shirt should be worn under the uniform.

QUESTION: Will there be a place for orchestra/choir to change after the workshop?
Yes.The truck will be backstage, so they can drop their black shoes/bags on the truck.

• For Disney, they will get dressed backstage at Disney.
• The Universal Workshop will be at 12:30 on Friday. Kids will go backstage around noon. It will go until around 3pm.
• Paperwork will be sent out with an itinerary. 
• Students that take medication that will be given by Nurse Rita bring tomorrow at Luggage drop off.
• Orchestra instruments come to the luggage drop off. Band instruments will be loaded on Friday.
• Truck should be getting back on Tuesday. Watch the BandApp for when it is back.
